Privacy Policy

Auto Squared Marketing (“Auto Squared”, “we”, “us”) provides Auto Squared CRM, a customer relationship management platform for automotive dealerships, available as a web application and as mobile apps for iOS and Android (together, the “Service”). This policy explains what personal information the Service collects, how it is used, and the choices available to you.

Who uses the Service

Auto Squared CRM is a business-to-business product. Accounts are created and managed by dealership administrators for their authorized employees — there is no consumer self-service registration. The Service handles two kinds of personal information:

  • Dealership staff information — account details for the employees who sign in and use the Service.
  • Dealership customer information — records that dealerships store and manage in the Service about their own customers. For this information, Auto Squared acts as a service provider on the dealership’s behalf; the dealership is responsible for its relationship with its customers.

Information we collect

  • Contact information — names, email addresses, and phone numbers of staff accounts and of the customer records dealerships maintain.
  • Messages and content — emails, text messages, call recordings, notes, support tickets, and file attachments created or received through the Service.
  • Photos, videos, and audio — media captured with the device camera and microphone or selected from the photo library, when a user chooses to attach or record it (for example, vehicle photos and personalized customer videos).
  • Deal and transaction details — vehicle, pricing, and financing figures dealerships record on their customer and deal records.
  • Identifiers — account IDs, dealership (store) IDs, and a device push-notification token used to deliver notifications.

Device permissions (mobile apps)

  • Camera and microphone — used only when you scan a VIN barcode, take a photo, or record a video or audio for customer communication.
  • Photo library — used only when you choose to attach existing photos.
  • Face ID / Touch ID / fingerprint — used only to unlock sign-in. Biometric data is processed by your device’s operating system and never leaves your device.
  • Notifications — used to alert you to new leads, messages, calls, and appointments.

The apps do not collect device location.

How we use information

Information is used solely to operate the Service: signing users in, storing and displaying dealership records, sending and receiving communications the dealership initiates, delivering notifications, providing in-app support, and maintaining the security and reliability of the platform. AI-assisted features (such as message drafting and call transcription) process relevant records to produce their output for the dealership’s use.

  • We do not sell personal information.
  • We do not use personal information for advertising, and the apps contain no advertising or tracking SDKs.
  • We do not track users across other companies’ apps or websites.

Service providers

We rely on third-party providers that process information on our behalf to run the Service, under agreements limiting their use of it to providing their service to us: Supabase (database and authentication), Google / Firebase (push notifications), Twilio (calls and text messaging), SendGrid (email), Mux (video), Amazon Web Services (storage and transcription), Upstash (infrastructure), and AI providers (OpenAI, Anthropic, Google, ElevenLabs) for AI-assisted features.

Security and retention

All data is encrypted in transit using TLS. Access to dealership data is restricted to that dealership’s authorized users. We retain information for as long as the dealership maintains its relationship with the Service, and delete or anonymize it on verified request or when it is no longer required, except where retention is required by law (for example, records of communication consent and opt-outs).

Your choices and rights

  • Dealership staff — your account is managed by your dealership’s administrators. Contact them, or us, to access, correct, or delete your account information.
  • Dealership customers — contact your dealership directly, or see our data deletion page to request deletion of your information. Marketing emails include an unsubscribe link, and text messages support reply-STOP opt-out.

We handle personal information in accordance with applicable Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA).

Children

The Service is a workplace tool for dealership employees and is not directed to children.

Changes to this policy

If we make material changes to this policy, we will update this page and revise the effective date above.
